What ShootLedger does

A quick reference for everything built into the app today.

Assignments

The core record for every shoot — date, type, call time, and event start time.

Calendar Import

Bring events in from a team or league calendar you subscribe to, matched against venues you've already saved.

Add to Calendar

Push any assignment to your iOS calendar in one tap.

Venues

Save directions, parking, press box notes, and Wi-Fi details for every location you shoot.

Shared Venue Directory

Optionally share a venue with other ShootLedger users, and flag listings that need a correction.

Clients

A default rate per client that auto-fills on new assignments, and payment type (flat or hourly).

FTP Delivery Profiles

Up to three named FTP profiles per client, for clients who run separate feeds for different work.

Invoicing

Generate a client-ready PDF invoice for any assignment, with line items and your business letterhead.

QuickBooks Online Export

Every invoice also generates a CSV formatted for QuickBooks Online's own Sales > Invoices > Import tool.

Mileage Tracking

Log drive distance for an assignment using your location while the app is in use.

Expenses

Track job costs, with the option to roll them into the invoice total or keep them for your own records only.

Gear Checklist

A per-assignment packing checklist pulled from your equipment registry.

Equipment Registry

Track gear by serial number for insurance purposes, with CSV import for an existing list.

Model Releases

Sign a release template once; generate a signed, ready-to-send PDF release for any shoot.

IPTC / Caption Templates

Attach an XMP metadata template to an assignment and share it into Photo Mechanic or a similar tool.

Weather

A forecast for your venue and assignment date, right on the assignment screen.

Earnings Dashboard

What you've billed, collected, and are still owed, broken down by period and by client.

iCloud Sync

Your data syncs privately across your own iPhone and iPad through your iCloud account.

Frequently asked questions

How do I create my first assignment?

Open the Assignments tab and tap the add button. Give it a title, date, and type — everything else (venue, client, equipment, gear checklist) can be filled in now or added later as the details come together.

Why doesn't Import from Calendar show any events?

Import from Calendar reads events from a calendar you've subscribed to on your device — for example, a team or league's publicly published schedule. If you haven't subscribed to one yet, add it first in Settings > Calendar > Accounts > Add Subscribed Calendar, then come back and ShootLedger will be able to see its events.

If you've just granted calendar access for the first time, give it a moment and try again — iOS can take a few seconds to make a newly granted calendar available to the app.

Will importing create duplicate venues?

No. When an imported event's location roughly matches a venue you already have saved, ShootLedger proposes that match instead of creating a new one — you confirm it before anything is saved. If nothing matches, you'll be prompted to create a new venue.

How does invoicing work?

From an assignment, tap Generate Invoice. ShootLedger creates two files: a PDF invoice styled with your business name and logo, ready to send straight to your client, and a CSV formatted for QuickBooks Online's own invoice importer.

Does ShootLedger connect to my QuickBooks account?

No — there's no sign-in to QuickBooks and no direct connection to your account. ShootLedger generates a CSV file on your device; you import that file yourself in QuickBooks Online under Sales > Invoices > Import. Your QuickBooks login and data are never seen by ShootLedger.

The QuickBooks import doesn't match my columns. What do I do?

QuickBooks Online occasionally adjusts its expected import format. If a CSV doesn't import cleanly, use QuickBooks' own "Download a sample file" link on the invoice import screen to compare column headers, and let us know so we can update the export to match.

What happens when I share a venue?

Sharing a venue makes the information you've entered for it — name, location, general notes, and any Wi-Fi network details you saved — visible to other ShootLedger users, so the next photographer booked there doesn't start from scratch. Sharing is always a toggle you turn on per venue; nothing is shared automatically.

If you'd rather keep a venue's Wi-Fi details private while still sharing the rest, leave that venue unshared and pass the Wi-Fi info along a different way — shared venues are shared in full.

A shared venue has wrong information. How do I report it?

Tap the flag icon next to the listing when it appears in Import or search results. Flagged listings show a warning to other photographers until the information is corrected.

How many FTP profiles can a client have?

Up to three named profiles per client — useful if a client runs separate FTP feeds for different kinds of work. Pick the right one per assignment from the delivery section.

Are my FTP passwords safe?

FTP credentials are stored in the iOS Keychain — Apple's dedicated secure storage for credentials, not in ShootLedger's regular synced data. They're used only to connect directly from your device to the server address you entered; ShootLedger has no server of its own in between.

Does ShootLedger work on both my iPhone and iPad?

Yes. Your assignments, clients, venues, and equipment sync automatically between your own devices through your iCloud account, as long as you're signed into the same Apple ID with iCloud enabled for ShootLedger.

I renamed the app from ShootSheet — did I lose my data?

No. ShootSheet and ShootLedger are the same app under the hood — only the name you see changed. Your account, assignments, and iCloud sync are untouched.

Still stuck?

Email support@shootledger.app with a short description of what happened and, if you can, the assignment or screen involved. Screenshots help a lot.
